Board of Directors Meeting

January 14, 2019

The meeting was convened at 9:35 am by President Jan Bond.

Others present: Linda Burns, Sheila Hamlin, Pete Calvagna, Marsha Ossowski, Ann Beeler, Cher Ptacek, Michelle Kaiser, Dee Martin and Library Director Becky Collier.

The Agenda was approved.

The Minutes from December were approved.

Treasurer’s Report:

  • Susan Schaefer, CPA, will move our 2018 capital expenditures to assets and add the depreciation to close out our financials for 2018.
  • The 2019 budget was presented which showed a deficit of $7,200.
  • Sparks Insurance Agency will be contacted to review our insurance policy and decrease our premiums.
  • Several board members will work on the Maintenance of Effort (MOE) to give us a more realistic view of our finances.

               The new budget and the treasurer’s report were approved.

J'Lynn Harvey (Wealth Management with Morgan Stanley) made a presentation and recommendations for higher yield from our current Vanguard account as we are in a loss scenario against inflation. Upon round table discussion and review we approved moving our account from Vanguard to Morgan Stanley with a 60% conservative and 40% at a level 3 which is more high risk.

Director's Report:

  • December library stats were presented.
  • 3 new library cards were issued.
  • Santa came to LAP with 20 children present. We handed out 20 books.
  • Statue dedication was well received with 35 in attendance; Chamber of Commerce posted a video of the dedication on their Facebook page.
  • The library Scholastic book fair netted $300.00 in profit to purchase books.
  • The craft fair was well received with patrons; vendors enjoyed having it held at the library.

 Grants:

  • We received a grant from the Tocker Foundation of $2004.00 for Becky and Jan to attend the Texas Library Association conference 4/15-4/18. The funds will be sent to us in March.
  • We applied to the J. Frank Dobie Charitable Trust for book funds.
  • We applied for an Ezra Keats Mini grant of $221.26 for supplies to make another children's quilt.
  • We applied to Captain Planet for renewable energy kits.
  • We are working on our application to NEA Big Read 2019-2020 for $5,000.00 to study "In the Heart of the Sea."
  • We are working on an application to the Trull Foundation to support Jeremiah 29:11 meals and books.

Events:

Library 40th Anniversary Event committee has been established. Two events will be held:

  • Library Open House on February 10, 2019 from 12:00 pm — 2:00 pm
  • Al Pickett confirmed as guest speaker for our fundraiser on February 23, 2019 at the First United Methodist Church. He will discuss his latest book “Brother's Keeper” which has been made into a movie. We will charge $15.00 for adults and $10.00 for 18 and under.

Old Business:

  • Book sale – books in the non-fiction room need to be boxed up and taken to the book sale building.

New Business:

  • Board members received copies of the current Library Policies and By-laws. The committee will review the documents and present to the board for approval of changes before they are posted on our website.
  • The newsletter was reviewed and approved for publication. It will be mailed this week.
  • Ex Officio status: it was approved that we remove Ex Officio article 4.15 from our by-laws.
